Youth Symphony rehearsal

Welcome to membership in the Central Illinois Youth Symphony Organization.
The purpose of the organization is:

  • to fulfill the need for a superior organization which will challenge, educate, and stimulate the advanced students of music in the central Illinois area;
  • to extend the school music program, never substituting for it; and, to contribute to the cultural life of the participating students and their communities.

To meet these objectives, you active participation is imperative. You have undergone an extensive audition and have proven your potential as a musician. It is now time to use this potential in developing our organization. In turn, you will gain the experience that will help your own community's music program. As long as you work toward this goal and are a member of your school music organization, you will realize the fine musical experience our group has to offer.

The following information is provided so you will know what your responsibilities are to this organization and what is expected of you as a member.

1. Requirements

Membership in the organization is decided through an audition process and is open to all serious music students in central Illinois. Students through grade 12 are eligible for membership in the Youth Symphony, Concert Orchestra, Prep Orchestra, and Ensembles. They must be members of their own school instrumental organization and/or have the permission of their local music director to participate in the Central Illinois Youth Symphony Organization.

2. Rehearsal Attendance

Attendance is required at all rehearsals. If an absence occurs, the absentee must provide an email or phone call giving the member's name, date of absence, and reason for the absence. This information is to be provided to the manager before the date of the rehearsal. If, because of sudden illness, this is impossible, the absentee should call or email the manager by 2:00 PM on the rehearsal day.

The 2011-2012 concert season will be divided into two sessions. Allowable absences in PREP will be determined by the PREP director. Maximum allowable absences for the Youth Symphony, Concert Orchestra and Ensembles are as follows:

 

Session I - (August - November)
CIYS - Two Absences
A third absence will be at the discretion of the CIYS conductor as to whether that individual will be allowed to perform the concert or be dismissed.
CICO - Three Absences
All Small Ensembles- Two absences
Session II - (January - April)
CIYS - Two Absences
A third absence will be at the discretion of the CIYS conductor as to whether that individual will be allowed to perform the concert or be dismissed.
CICO - Three Absences
All Ensembles - Two absences
Two late arrivals or early departures from a rehearsal will be counted as an absence.
In order for our orchestras to excel, your regular participation is critical. Any absence beyond the given number of allowable absences will result in dismissal.
Dismissed students may be readmitted at the discretion of the Director. These students may be asked to reaudition and if reinstated, they may be seated at a different level than originally held.
When using absences, be sure to consider that these allowable absences are meant to include family emergencies, illness, school functions or any other occurrence. Allowable absence will NOT carry over from one session to another. If a director or manager cancels rehearsal because of severe weather or any other reason, that canceled rehearsal will not be counted as an absence. No distinction is made between excused and non-excused absences, all are counted the same.
Attendance at all dress rehearsals is mandatory.
An absence from a concert will result in automatic dismissal from the organization.

3. Audition and Tuition Fees

Audition and tuition fees are nonrefundable and nontransferable, regardless of circumstance. A tuition deposit is required with the return of the acceptance papers for the organization. The remaining tuition is due the first night of rehearsal. If the balance is not given by the third rehearsal, the student will not be seated. Need based tuition scholarships are available. Applications for these scholarships can be obtained from the orchestra managers.

4. Music

Music is the responsibility of the member. While music is in the possession of the member, the member is responsible for the cost of the music in case of loss or destruction.
Students are required to bring their music to every rehearsal so that in the event of the absence of their stand partner, they will have their music.
Have a pencil with an eraser at all rehearsals.

5. Stands

All students are required to bring music stands to rehearsals.

6. Seating

Seating at the beginning of the fall session is determined by audition. Seating will be at the discretion of the conductor and is subject to change due to the following circumstances:

  • Poor attendance
  • Inability to play the part
  • Attitude
  • Attentiveness
  • Inadequate home practice

7. Conduct

Students in the CIYS Organization are expected to have good discipline during rehearsals and performances. Disturbances, inattention and talking show a lack of interest and respect to the organization and will not be tolerated. Polite and courteous behavior is expected towards other students, conductors, staff, parents and the rehearsal and performance venues. Respect for rehearsal and performance venue property must be displayed at all times. Students causing damage to property in any way shall be monetarily responsible for all damage, and may be excused from the organization. Hats, food, gum, or drink (with the exception of water in a spill-proof container) is never permitted during rehearsals or performances. The use of cell phones or other electronic devices during rehearsals and performances is not allowed. Any infraction of conduct, attitude, or responsibility will be dealt with in one or more of the following manners:

  • Conference with student
  • Conference with parents
  • Change in seating
  • Expulsion from the CIYS Organization

8. Rehearsal Schedule

Brass or percussion players who are not required in every piece may be excused early. This will not invariably be the case; however, these players must understand that they are on call for the entire duration of the rehearsal unless dismissed early. Rehearsals will normally be two hours in length for CICO and CIYS and 1.25 hours for Prep. See your season calendar for times for all groups.
PPlan to arrive at rehearsals early enough to be in your seat with music and instrument, ready to begin on time.
Sectional rehearsals will be during regular rehearsal hours.

9. Soloists

Certain outstanding Youth Symphony members will be eligible to perform as soloists with the Central Illinois Youth Symphony in public performance. Interested players should inform the manager in the fall, as special auditions will be scheduled.

10. Concerts

Two to five concerts will be scheduled.

Concert dress is as follows:

Youth Symphony and Ensembles - Concert dress is a black suit or tuxedo for the men, with a white shirt, black bow tie, and black shoes and socks. For the women, a long, solid black skirt or full solid black dress pants and a long-sleeved black blouse, or long black dress with long sleeves, black shoes, and no white stockings.

Concert Orchestra - Concert dress is black dress pants for the men, with a long sleeve white shirt, long dark tie, and black shoes and socks. For the women, a long, solid black skirt or full black dress pants, a long-sleeved white blouse, black shoes, and no white stockings.

Prep Orchestra - Concert dress is plain dark pants and white shirt for the men. For the women, knee length or longer plain dark skirts (or full pants for the cellos) and white blouse.

11. Board of Directors

The Central Illinois Youth Symphony Organization and its policies are governed by a Board of Directors consisting of interested musicians, educators, and civic leaders. These men and women conceived the organization over thirty years ago and have worked countless hours to ensure its success. Each year they manage to raise thousands of dollars to carry on the work of the Central Illinois Youth Symphony Organization. As the orchestras grow and prosper, each successive season requires a larger and larger budget. Organization members - the primary beneficiaries of all this effort - may need to participate in the fund raising campaign themselves as a group, in some manner to be determined by the Board of Directors.
If any problems arise that pertain to any of the Central Illinois Youth Symphony Organization member groups, please feel free to discuss the situation with the manager or conductors.
